Event Coordinators are responsible for coordinating and/ or leading all aspects of planning and executing up to 200 company wide client events on an annual basis. Events include: conferences, golf tournaments and professional development events in Toronto, across Canada and Internationally. 

The event coordinator should have a passion for event management and for delivering outstanding customer service. They should be enthusiastic and have strong organizational skills. 

Must be hard working with the ability to meet project needs and deadlines, manage multiple priorities and work independently as well as part of a multi-disciplinary team. Evening and weekend work may be required. 

Job Responsibilities include but are not limited to: 

  • Site inspections 

  • Supplier sourcing, liaison 

  • Contract negotiations 

  • Budget Development & Management 

  • Event registration, processing & follow up 

  • Volunteer training & management 

  • Food & beverage organization 

  • Minute taking of event planning sessions, distribution of minutes (as required) and Full reporting (internally & externally) 

  • Critical path development 

  • Printed material coordination 

  • Contingency planning and Risk management 

  • Marketing (e-blasts, call & social media campaigns, etc.) 

  • Updating and maintaining database records 

  • Membership communications (email, phone) and General administrative activities 

  • Website updates, as required 

  • Complete on-site event execution 

  • Organizing of all logistics pertaining to the event. 

  • Communicating and reporting to stakeholders, suppliers, etc. 

Job Responsibilities include but are not limited to: 

  • Minimum of 2-4 years in project management, event management or client services 

  • University Degree preferably with Event Management / Hospitality Specialties 

  • Excellent Attention to Detail 

  • Exceptional organization skills and ability to take care of details while managing multiple tasks 

  • Ability to meet deadlines with little supervision and in changing environments 

  • Strong work ethic with perseverance to work long hours over extended periods of time, due to the nature of the role 

  • Well-developed communication and interpersonal skills with high degree of professionalism 

  • Ability to work in a team and independently 

  • Excellent customer service skills 

  • Positive attitude, and clear understanding of company’s mission and core values

  • Experience working with Associations preferred 

  • Fluent French an asset
